Requesting an ITLS Project
What is an IT Project?
At RCCD, an IT Project is a structured endeavor involving Information Technology & Learning Systems (ITLS) infrastructure, administrative systems, and/or core district technology. These projects range from software adoptions to the deployment large-scale technology initiatives.
The following represent core ITLS project service categories:
- Network Access & Server Resources: Design, installation and management of server environments and network infrastructure.
- Audio Visual (A/V) & Media Systems: Design, installation and management of A/V technology and media systems throughout college campuses, including smart classrooms, conference rooms, and specialized event spaces.
- Administrative Systems: Enhancements to ERP/SIS (Colleague), CRM (Element 451), or specialized business applications like OnBase.
- Computing and Device Lifecycle Management: Enterprise-level device deployment and management, including large-scale hardware rollouts, software distribution, and coordinated implementation efforts.
- Business Process Improvement: Automating manual workflows or developing custom API integrations to improve district efficiency.
- Implementation Support: Partnering with departments (such as HRER) to roll out new digital tools, emergency notification systems, or telework technology.
Note on Instructional Content: Please note that requests specifically regarding Canvas or instructional design pedagogy are under the purview of Distance Education. ITLS projects focus on the underlying network, security, hardware, A/V infrastructure, and administrative systems that support the district’s digital environment.
The Project Intake Process
The ITLS Intake Phase is the formal methodology used to evaluate and approve technology initiatives. This process ensures that every project is:
- Strategically Aligned: Supports the District Strategic Plan, Board Goals, or specific College initiatives.
- Resource-Aware: Confirms ITLS has the capacity, expertise, and budget to implement and sustain the solution.
- Prioritized: Ranks the request within the current district-wide project portfolio to ensure focus on high-impact needs.
Project vs. Service Request
To ensure your request is handled efficiently, please distinguish between a Project and a Service Request. A Project is a temporary endeavor that:
- Has a clearly defined beginning and ending date.
- Provides a new technology product or a significant change to existing architecture.
- Requires cross-departmental coordination or significant ITLS labor (see Tiers below).
Routine maintenance, individual login issues, software troubleshooting, or standard hardware repairs are considered Service Tickets or Support Requests. These should be submitted through the standard TSS Help Desk.
