In line with industry best practices to minimize increasing cybersecurity risks, BPs & APs 2720 COMPUTER AND NETWORK USE, and 2721 INFORMATION SECURITY AND DATA PROTECTION;

Employees should expect to lose access to RCCD employee accounts and resources on their date of separation. The District retains access to accounts and content as a matter of information security and business continuity. It is the responsibility of the employee to transfer desired data from their employee email and accounts to a repository of their choosing prior to their last day of employment. District intellectual property and sensitive information shall not be transferred to non-District systems. 

Former employees that will or plan to return to work for the District must be rehired. An account will be provided on the specified start date of the assignment and disabled upon the end date of the assignment. 

Retirees who wish to request an alternate RCCD email account are referred to the following process.

Requirements and Parameters:

  • Entitlement to a retiree account is only offered to individuals separating under the following criteria:
    • Former employees in the following categories: Faculty Full-Time, Faculty Part-Time, Academic Manager, Classified Manager, Classified Supervisor, and Confidential Staff; who have separated from the District through retirement shall have access to an @retiree.rccd.edu issued email account upon request and approval. 
  • A new and email-only account will be created (No entitlement to other resources; e.g. Adobe suite, Zoom, etc.)
  • Retirees transitioned to the retiree email account shall have access to the Retiree Listserve 
  • Multi-Factor Authentication is required on the account
  • Completion of ongoing cybersecurity awareness trainings
  • District has the right to revoke access if cybersecurity awareness training is not completed within 90 days of assignment
  • District has the right to revoke access after 180 days of log-in inactivity on the account
  • District has the right to revoke access if activities on the account misalign with RCCD’s institutional, business, or information security interests

Procedures:

  • Submit request to helpdesk@rccd.edu with the following information:
    • RCCD email address during employment
    • Non-RCCD email and phone number for communication
  • Once entitlement is verified, the retiree email account information will be sent to the non-RCCD email that was provided
